Title: KREASI Supply Chain Coordinator

CHILD SAFEGUARDING: Level 3—The role holder will have contact with children and/or young people either frequently (e.g., once a week or more) or intensively (e.g., four days in one month or more or overnight) because they work in or are visiting country programs or because they are responsible for implementing the police checking/vetting process staff.
ROLE PURPOSE:
Kolaborasi untuk Edukasi Anak Indonesia (KREASI), or Collaboration for the Education of Indonesian Children, is a program designed to accelerate the improvement of literacy, numeracy, and character education for preschool and primary school students in 8 districts across 4 provinces in Indonesia. The Global Partnership for Education (GPE) funds the program through the Multiplier Grant allocated for Indonesia, leveraging the Australian Government`s Department of Foreign Affairs and Trade (DFAT) investment for its INOVASI Phase 3 program.
KREASI, and its Grant Agent, Save the Children Australia and Save the Children Indonesia as the in-country representatives, were appointed by the Ministry of Education, Culture, Research, and Technology (MoECRT) and the Ministry of Religious Affairs (MoRA), with the endorsement of Mitra Pendidikan Indonesia / Local Education Group (MPI/LEG), a consortium of 17 international and local education stakeholder organizations. The program is closely aligned with Indonesia`s national education goals, particularly the Merdeka Belajar initiative, which emphasizes essential and flexible learning processes tailored to each student`s interests, talents, and needs, focusing on holistic, relevant, and sustainable education.
This program will synergize its strategies and implementation with the successful DFAT`s INOVASI program. This alignment ensures that KREASI adheres to proven practices and complements Indonesia`s national education strategies.
Through extensive consultations with national, provincial, and district stakeholders, KREASI has been designed to address the specific needs of targeted regions by improving curriculum and assessment processes, enhancing teaching practices, fostering educational leadership, and ensuring child protection in education. The program strongly emphasizes Gender Equality, Disability, and Social Inclusion (GEDSI), as well as climate change education, ensuring that the most marginalized children, including those with disabilities, have access to quality education in safe and inclusive environments.
With a commitment to sustainability and systemic change, KREASI aims to empower local government stakeholders, partners, and communities, ensuring that the gains achieved through the program are both impactful and enduring. At the national level, Save the Children operates under MoECRT and MoRA`s supervision and is in closely with MPI/LEG to ensure that the program contributes to systemic and transformational change within Indonesia`s education sector.
The Supply Chain Coordinator manages and optimizes supply chain operations, ensuring the efficient flow of goods and materials from suppliers to the KREASI project and its implementing partners. This role involves coordinating procurement, inventory management, logistics, and supplier relationships to ensure timely and cost-effective product delivery. The Supply Chain Specialist supports implementing partners by ensuring they have the necessary resources and materials to achieve project goals, contributing to the overall success of the organization’s initiatives.
KEY AREAS OF ACCOUNTABILITY:
Managing Implementing Partner:
- Collaborate with partners to understand their requirements and ensure they receive the necessary support on time.
- Provide training and guidance to partners on supply chain processes and best practices. Tangible support to train local partners in the supply chain, including standardizing the training module after consulting with the supply chain manager and partnership specialist.
- Under the supervision of the Regional Manager, lead the joint monitoring visit with the implementing partners and capture the lesson learned from the partnership works.
- Ensure partner monitoring is scheduled and factored into the project or program.
Administration, safety and security:
- Ensure timely and accurate payment for vendors and service providers, including utility payments for offices.
- Ensure the office, assets, and vehicles are well maintained to comply with safety regulations.
- Ensure adequate vehicle insurance coverage and timely registration and permit in her/his area of responsibility.
- Ensure efficient, professional reception function.
- Work with the safety and security focal person to ensure that security policies and procedures are understood and strictly adhered to throughout all programs and develop briefings, communications, transport, and other systems.
- Maintain good support security for all staff and visitors.
- Ensure proper record keeping, maintenance, and control of all assets in the KREASI team and coordinate with the National Office to reconcile them into the master asset list at the national level.
Logistics and Procurement:
- Provide day-to-day logistical support to KREASI program implementation in respective areas and oversee the supply chain support within his/her area of responsibility.
- Organize all logistic processes related to program requirements, including obtaining competitive bidding, purchasing, and delivering material.
- Establish and maintain good contact with local suppliers on logistic matters.
- Manage procurement and storage, including stock records of all material transactions.
- Obtain quotations and conduct price comparisons to get the best deals.
- Ensure that all procurement is done appropriately, efficiently, timely and transparently as per Save the Children International policies and procedures and internal audit requirements.
- Ensure efficient, cost-effective fleet management is in place and compliance with SCI standards.
- Ensure all agreements are maintained and updated.
- Ensure adequate office and vehicle supplies.
- Work and coordinate closely with the program team to provide a monthly procurement tracker and procurement plan.
- Ensure timely periodic reports and coordination with the other supply chain coordinator
Brand and Reputation:
- Contribute to implementing partners are aware and are actively involved in building and maintaining the Save the Children brand in all project field sites and with all project external stakeholders, including program strategic partners
Communication and Representation:
- Maintain clear and effective communications with the KREASI team members and other program or support staff in the Save the Children Indonesia
- Ensuring communication flows effectively between the program, partners and another external stakeholder
General
Any other task & responsibilities given by the Supervisor and to comply with Save the Children and Save the Children Indonesia`s policies and practice with respect to child protection, code of conduct, health and safety, equal opportunities and other relevant policies and procedures.
QUALIFICATIONS AND EXPERIENCE
Essential
- Education Degree in any field.
- Work Experience (in years) 3 to 5 years.
- Strong computer skills in Microsoft Office (Word and Excel).
- Good command of English, verbal and written.
- Experience with Administration and Logistict management.
- Demonstrated credibility with colleagues and stakeholders at all levels of an organization.
- Leadership skills, including the ability to supervise and motivate the team with strong personal value systems.
- Analytical, decision making and strategic planning skills and the ability to handle multiple priorities.
- A commitment to the values and principles of SCI.
- High level of commitment to the principles of development and to the organizational and programmatic goals of Save the Children.
Desirable

- Good communication skills.
